Privacy Policy
Effective Date: September 17, 2026
At ZenithCall, we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services. Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the site.
1. Information We Collect
We may collect information about you in a variety of ways. The information we may collect on the Site includes:
- Personal Data: Personally identifiable information, such as your name, email address, and telephone number, that you voluntarily give to us when you contact us, book a demo, or use our services. The Site offers no self-serve registration; owner-console login is staff-only.
- Derivative Data: Information our servers automatically collect when you access the Site, such as your IP address, your browser type, your operating system, your access times, and the pages you have viewed directly before and after accessing the Site.
2. Use of Your Information
Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. We may use information collected about you via the Site to:
- Provide and operate the answering service for our business customers.
- Respond to your inquiries by email or phone. We send no automated account or order emails.
- Invoice and collect payment manually for pilot and subscription services. There is no self-serve checkout or automated billing on the Site.
- Increase the efficiency and operation of the Site.
- Monitor and analyze usage and trends to improve your experience with the Site.
- Notify you of updates to the Site.
- Request feedback and contact you about your use of the Site.
- Resolve disputes and troubleshoot problems.
3. Disclosure of Your Information
We may share information we have collected about you in certain situations. Your information may be disclosed as follows:
- By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others, we may share your information as permitted or required by any applicable law, rule, or regulation.
- Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, including hosting services, data analysis, customer service, and manual invoicing support. We do not use third-party payment processing or email-delivery providers.
4. Cross-Border Processing of Call Audio
When you or your callers use ZenithCall's answering service, live call audio is transcribed by Google's AI speech services. Google may process that audio and its transcripts on infrastructure outside Canada (global routing; no Canada-only processing option is available for this service). By using the service, you acknowledge that call content may leave Canada during live transcription.
5. Data Retention Schedule
We keep different classes of data for different periods, then delete them:
- Call audio: we do not record call audio. Only transcripts and structured records derived from the call are kept.
- Diagnostic traces and logs: deleted automatically after 14 days (traces) and 30 days (logs).
- Call and dispatch records: kept while your account is active to operate the service and answer questions, then deleted within 12 months of account closure unless the law requires us to keep them longer.
- Account and billing records: retained for 7 years to meet tax and accounting obligations.
6. Controller and Processor Roles
For personal information contained in calls handled on a tenant's behalf, the tenant (the business customer) acts as the data controller and ZenithCall acts as the data processor, processing call content only to provide the answering service and only on the tenant's instructions. Tenants are responsible for providing appropriate privacy notice to their own callers.
7. Security of Your Information
We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
8. Policy for Children
We do not knowingly solicit information from or market to children under the age of 13. If you become aware of any data we have collected from children under age 13, please contact us using the contact information provided below.
9. Access, Correction, and Complaints
You may ask what personal information we hold about you and ask us to correct it if it is inaccurate by writing to the address below. Callers asking about information held on a tenant's behalf will be directed to that tenant, which acts as the data controller for its calls. If you believe we have not handled your concern adequately, you may complain to the Office of the Privacy Commissioner of Canada or to the Office of the Information and Privacy Commissioner for British Columbia.
